Link choir to choir association

What is this?

With the choir association link you couple your choir to an umbrella association — for example Chorverband NRW or a regional singers'' association. That saves you a lot of double work: inventory reports, member numbers and association fees flow directly from Chorilo to the association instead of you submitting them separately by form.

Advantages of the link:

• Inventory reports transferred automatically — cutoff member counts update from Chorilo
• Association fees are calculated correctly
• Inquiries from the association land directly in the choir
• Association-wide events and competitions become visible
• Member statistics are available to the association without Excel lists

How to link your choir

1. Open your choir and go to Settings > Edit choir > Choir association.
2. Choose your association from the list. If your association is not listed, it is not yet integrated into Chorilo.
3. Enter additional association data (e.g. membership number, regional subgroup).
4. Confirm the request. The association receives a notification and reviews the link.
5. Wait for confirmation by the association. As soon as approved, the link is active.

What is possible after the link

• Inventory reports for cutoff dates submitted directly from Chorilo
• Member numbers update automatically in the association database
• Association events (singing festivals, workshops, competitions) appear in the calendar
• Direct communication with the association office from Chorilo
• Statistics and reports for the association without separate Excel maintenance

Permission

You need the permission ensemble.edit. By default the owner and choir director have this permission. The request goes to the association which can confirm or decline it.

Tips

• Keep your member list current — it is the basis for all inventory reports. Wrong voices or outdated birth dates lead directly to wrong reports.
• Enter the correct membership number if your association assigns one — that speeds up confirmation.
• Ask your association whether it uses Chorilo as association software. If not, a hint is worthwhile — many associations are currently looking at digital solutions.
• Check after the link that all fields in the association area are filled — some associations expect additional data (e.g. choir type, rehearsal location, founding year).
