Choir roles (conductor, music librarian, ...)

Define roles like conductor, music librarian or treasurer and assign them to members. Roles are independent of permissions.

What is this?

With choir roles you define functions inside the choir — conductor, music librarian, treasurer, rehearsal manager, press officer, secretary and so on. Roles describe which task someone has taken on, they are independent of technical permissions (those are handled by permission groups).

Typical roles:

  • Conductor / choir director — musical leadership
  • Chairperson / 1st board member — official club representation
  • Deputy / 2nd board member
  • Treasurer — club finances
  • Secretary — minutes
  • Music librarian — sheet music inventory
  • Rehearsal manager — attendance, rooms, logistics
  • Press officer — public relations
  • Voice section leader — represents own voice section

How to create roles

  1. Open your choir and go to Administration > Choir roles.
  2. Click "Add role".
  3. Enter name and description. Optional: an icon for visual differentiation.
  4. Save the role. It is immediately available as a choice in member profiles.

Assigning roles to members

  1. Open a member and click "Edit".
  2. In the "Roles" section choose one or more roles from the list.
  3. Save the changes. The role appears in the profile and member list immediately.

Where roles are shown

  • Member profile: prominently below the name
  • Member list: filterable and sortable
  • Board page (on the public website): can be automatically grouped by role
  • Contact hints: "For sheet music questions, contact [music librarian name]"

Example: Maria is "music librarian" (role) and "board" (permission group). Tom is "rehearsal manager" (role) and "member" (permission group).

Permission

You need the permission ensemble.edit to create or change roles. By default the owner and choir director have this access.

Tips

  • Keep the list manageable — 5 to 15 roles is usually enough. Too many make the choice unclear.
  • Use roles for the public board page — there "Chairperson", "Treasurer" etc. are automatically shown when the website is enabled.
  • Voice section leaders are gold: assign one leader per voice — they are the natural contact for sectional rehearsals and sick reports.
  • Separate role from position: "Chairperson" describes the role, "since 2023" the engagement date. Use the additional note fields for such extra info.

Frequently asked questions

What is the difference between role and permission group?
Role = function in the choir (e.g. "music librarian" — who manages the sheet music?). Permission group = what someone is technically allowed to do in Chorilo (e.g. create events). A role shows the function, the permission group controls the permissions.
Can a member have multiple roles?
Yes. For example "music librarian" and "soprano section leader" at the same time. Roles are a free multi-assignment — they do not compete with each other.
Who sees the roles?
All members. In the member profile and in the member list the roles are visible — that way everyone knows whom to ask for which question.
