Manage join requests

Review requests from choirs that want to join the association. Approve or decline — the choir is notified automatically.

What is this?

When a choir wants to join your association, it submits a join request from its choir settings. The request lands in the association portal under "Requests" and waits for your decision. Only when you approve does the choir officially become a member.

How to process a request

  1. Open the Association menu > Requests.
  2. See the list of open requests with choir info, region, member count and request date.
  3. Click a request to open the details — master data, voice type, contacts, optional cover note from the choir.
  4. Choose an action:
    • Approve — the choir becomes a member
    • Decline — the request is rejected
    • Postpone — stays open if clarification is still needed
  5. Confirm your choice. The choir is automatically informed by push and email.

What you see in the request

  • Choir information: name, address, logo
  • Voice type and member count
  • Choir contacts (board, choir director)
  • Request date
  • Optional cover note from the choir with reasoning

Permission

You need association.manage to see and process requests. Registered association staff have this permission.

Tips

  • Check regularly — choirs often wait for a reaction, and long wait times look unprofessional.
  • Clarification before approval: in larger associations a quick call or email before acceptance is often worthwhile — e.g. about fees or club matters.
  • Stay friendly when declining — phrase the rejection ideally personally. Common reasons: choir is geographically outside the association, different voice type than allowed by bylaws, double memberships not wanted.

Frequently asked questions

Is the choir automatically notified when I approve a request?
Yes. As soon as you accept a request, the choir receives a push notification and an email. The choir then appears in your member choirs list.
What happens if I decline a request?
The choir is notified that the request was declined. It can submit a new request later — for example after a conversation with the board.
Can I set conditions or ask follow-up questions when accepting?
Not directly in the request workflow. Use the choir contact details on file to clarify questions before accepting — e.g. fees, voice type, size.
