What is this?

With the function Add member you create a new member directly in your choir. This method is especially suited when you already have the data of a new member — for example after a first conversation, a trial session or when taking over an old member list.

In contrast to the invitation link, here you enter the base data yourself and the member only needs to confirm them.

How to add a member

  1. Open your choir and go to Members.
  2. Click "Add member" at the top.
  3. Enter the base data: first name, last name, email address (optional), voice, permission group.
  4. Choose the status: active member, guest or on leave.
  5. Enable "Send invitation by email" when the member should create their own account.
  6. Save the member. They appear in the member list immediately.

What happens after creation

  • Member with email: automatically receives an invitation email with a registration link.
  • Member without email: is kept as a dummy member — you maintain all data yourself, the member has no own login.
  • Existing Chorilo account (same email): is automatically linked as soon as the member confirms the invitation.
  • New account registration: runs via the link in the email and is finished in a few minutes.

Status options

  • Active: default — the member receives events, announcements and notifications.
  • Guest: takes part temporarily (e.g. project singer), no voting rights in votes.
  • On leave: temporarily pausing (e.g. illness, parental leave) — stays in the list but receives no active notifications.

Permission

You need the permission members.edit to create new members. By default the choir director and board have this access.

Tips

  • Enter the voice correctly from the start — it is the basis for targeted events, sectional rehearsals and sheet music assignments.
  • Use the email invitation as soon as the member has an address. That way they maintain their own data and reduce your workload.
  • Set the right permission group: "Member" for standard singers, "Board" for board work, "Choir director" for full edit rights.
  • For large member lists the CSV import under "Import members" is significantly faster than adding one by one.

When the invitation email does not arrive

  • Have the spam folder checked — Chorilo emails sometimes land there.
  • Check the email address — typos are frequent. Correct the address via "Edit member", then "Resend invitation".
  • Share the invitation link manually — you find it in the member profile and can pass it on via messenger or in person.

Frequently asked questions

What happens after adding?
The member receives an email with a personal invitation link. If they do not have a Chorilo account yet, they can register through it. Existing accounts are automatically linked.
Does the member have to accept the invitation?
Yes. The member has to click the link in the email and register or sign in. As long as that has not happened, they appear in the list as "Invitation pending".
Can I create a member without an email address?
Yes. You can create a "dummy member" without email address, for example for seniors without a mail account. You then maintain all data yourself. As soon as the member submits an email, they can create a real account.
