What is this?

All invoices Chorilo has issued to your choir are managed through the Stripe billing portal. You open it from the subscription overview and find every invoice there with PDF download and all legally required details. Each invoice is an official document for association bookkeeping and tax.

Invoice contents:

  • Invoice number and date
  • Invoice recipient (choir / association)
  • Service description (plan, billing period, any add-ons)
  • Net price and VAT
  • Gross amount
  • Payment status (paid / open)
  • Payment method used

How to find your invoices

  1. Open your choir and go to Administration > Subscription.
  2. Click "Go to billing portal". The Stripe portal opens in a new tab.
  3. In the portal choose the "Invoices" section.
  4. You see all invoices sorted chronologically (newest first).
  5. Download individual invoices as PDF via the download button.
  6. By email, Stripe automatically sends an invoice after each charge to the stored address.

  • Check payment status per invoice
  • Change email address for invoice delivery

Maintain a separate billing address

By default the choir address from the master data is used as the billing address. In the billing portal you can store a separate billing address — for example when:

  • The association has a different business address than the rehearsal venue
  • Invoices should go to the tax adviser
  • You want a separate bookkeeping address

VAT

Invoices are issued with the VAT rate applicable in your country. For associations with a valid VAT ID, reverse charge may apply depending on the constellation — maintain the VAT ID in the billing portal so it is taken into account automatically.

Permission

You need the ensemble.edit permission to view invoices and change the billing address. By default the owner and choir director have this access.

Tips

  • Download invoices monthly or quarterly and hand them to your treasurer or tax adviser. Keeps bookkeeping up to date.
  • Stripe automatically emails an invoice after each charge — forward this address directly to bookkeeping if possible.
  • Store the tax / VAT ID of the association in the billing portal if your association acts as a business partner.
  • Keep invoices for 10 years — legal retention obligation. Stripe handles this for you, but a local PDF archive never hurts for backup.

Where do I find my invoices?
In the subscription overview click "Go to billing portal". In the Stripe customer portal you find all past invoices with PDF download — sorted chronologically.
Can I change the billing address?
Yes. In the billing portal you maintain the billing address separately from the choir address — useful when the association has its own business address or invoices should go to a tax adviser.
How long are invoices stored?
At least 10 years — matching the legal retention obligation in Germany. Even after cancellation old invoices remain available in the billing portal.
