What is this?

The membership report is the annual statistical report from your choir to the association you are a member of. It includes member counts, voice distribution, prior year activities and possibly special events. Most choir associations use this data for their own statistics, fee calculation and grant applications.

Chorilo pre-fills the report from your choir data automatically — you only have to check, complete and confirm.

How to submit the report

  1. You receive a reminder email from the association as soon as the report is due.
  2. Open Choir settings > Membership report.
  3. Download the pre-filled form as PDF and check all values.
  4. Correct or complete fields that could not be filled automatically from Chorilo (e.g. donations, special performances).
  5. Confirm submission by clicking "Submit membership report".
  6. The association sees the status as "submitted" immediately — you receive an email confirmation.

What is in the report

  • Active members with voice distribution
  • Member additions and departures in the reporting year
  • Performances and concerts of the previous year
  • Board data (chair, management, treasurer)
  • Other association entries as required

Permission

You need ensemble.edit in your choir to submit the membership report. Board and management as well as all members in the corresponding permission group have this.

Tips

  • Remind yourself in time — associations often set deadlines with only 4 to 6 weeks lead time. Do not plan submission for the last day.
  • Check member data before submitting — a clean member list in Chorilo results in a correct report. Enter additions and departures of the year in time.
  • Keep the confirmation PDF — for grant applications, foundations often require proof of association membership with a current report.

When something goes wrong

If the report cannot be submitted, check these points:

  • Missing permission: only the board or ensemble.edit holders can submit.
  • Required fields empty: all fields required by the association must be filled in.
  • Association has not requested a report yet: if the tab is not visible, your association has not enabled membership reports via Chorilo — contact the office.

When do I have to submit the membership report?
Associations set different deadlines — typical is the start of the calendar year (January/February) for the previous year. You receive a reminder email from the association as soon as it is due.
What happens if I do not file?
The association sees the status "overdue" and sends automatic reminders. After longer delay the association can suspend the membership or apply bylaw sanctions — that depends on the association.
Is my data taken over automatically?
Yes. Chorilo pre-fills member counts, voice distribution and activity data from your choir automatically. You only have to check the values, complete them if needed and confirm.
Can I correct the report after submitting?
A report that has been submitted cannot be withdrawn by yourself. If you need corrections, contact the association office directly.
