Export attendance
Download the attendance statistics of all members as Excel, CSV or PDF. Ideal for board meetings, association reports or membership-fee debates.

What is this?
With the attendance export you download an overview of who attended rehearsals, performances and other required events how often. The statistic is an important basis for:
- Board meetings: regular activity evaluation
- Association reports: many associations expect attendance statistics
- Fee waivers: traceable for illness or stays abroad
- Concert planning: identify reliable singers and risk members
- Personal conversations: ask early when engagement declines
How to export
- Open your choir and go to Members > Export attendance.
- Choose the period: last 30 days, quarter, half year, year or custom range.
- Set filters (optional): only rehearsals, only performances, only certain voices, only active members.
- Choose the format: Excel, CSV or PDF (Excel is the default; CSV for external analysis, PDF for printing/sending).
- Export. The file is downloaded immediately.
What is in the export
Per member:
- Name (and possibly voice)
- Number of required events in the period
- Number of Present / Excused / Unexcused / Not answered
- Attendance rate (in percent)
- Last attended event
In the CSV variant additionally:
- Event list with status per event (for detailed evaluation)
- Role and permission group of the member
What the rate tells you
The rate is calculated by default as:
Present / (Present + Excused + Unexcused + Not answered)
Events marked as "Ignore" (e.g. because the member was not yet in the choir at that time) do not count. Optional events (sectional rehearsals, special events) are reported separately.
Permission
You need the permission members.view to export attendance. By default the choir director and board have this access. Members only see their own rate in their personal profile.
Tips
- Evaluate regularly — quarterly is usually enough. That way you spot trends early before members disengage entirely.
- Talk personally with members with low rates — there is often a reason (illness, new job, family situation), and a brief conversation can change a lot.
- Do not use the rate as a punishment: especially for working members or parents the rate can fluctuate. The trend matters, not the single value.
- Separate rehearsals and performances in the export — attendance requirements are often different (rehearsals more optional, performances more binding).
