What is this?
With the function Approve new you manage join requests that come into your choir via the invitation link. Instead of everyone via the link automatically becoming a full member, requests land in a waiting list — you decide who gets in.
This function protects your choir from:
- Unknown people joining via a publicly shared link
- Accidental joins (somebody clicks the wrong link by mistake)
- Bots or spam accounts getting into the choir
How to approve members
- Open your choir and go to Members > Approve new.
- You see all open requests with name, email and date of the request.
- Click a request to see the details.
- Decide per request:
- Approve: optionally adjust voice and permission group beforehand, then confirm.
- Decline: optionally include a brief reasoning.
- The new member receives a notification about the approval or decline immediately.
What happens after approval
- Member receives confirmation email with all important info about the choir.
- Member appears in the regular member list.
- Push notification to the member via the app.
- Events, announcements, sheet music are visible from now on.
- Permission group is assigned (default: "Member").
Collect requests and process together
When you regularly receive many requests:
- Bulk approval: select several requests and approve them in one step.
- Filter: show e.g. only requests of the last 7 days.
- Pre-processing: assign voice and permission group already before approval.
Permission
You need the permission members.edit to process requests. By default the choir director and board have this permission.
Tips
- Process requests promptly — whoever applied with you waits for a reaction. Longer waits increase the likelihood that interest cools.
- Ask back for unclear requests — a short email before approval can help distinguish trial singers from serious applicants.
- Set the right voice during approval — saves a later edit in the member profile.
- With automatic approval (can be enabled in the invitation link) this list can stay empty — then requests pass through directly. That only makes sense for trustworthy, narrowly distributed links.
Frequently asked questions
Why do I have to approve new members?▾
So that not just anybody gets unchecked into your choir via the invitation link. Approval is your safety — indispensable especially for publicly shared links.
How quickly do I have to approve?▾
There is no deadline. Requests stay open until you approve or decline them. The member cannot sign in until then though — quick reaction is fair.
Can I decline requests?▾
Yes. You can decline every request — the applicant receives a brief notification. The membership does not come about, but the account remains if the person is active in other choirs.
