Delete choir

What is this?

With the function Delete choir you remove your choir and all related data irreversibly from Chorilo. This action is final — deleted data cannot be restored. It is therefore only useful when the choir is actually disbanded or you switch completely to another tool.

What is removed on deletion:

• All memberships in the choir (members'' accounts remain)
• Events, attendances, announcements, chats
• Uploaded sheet music, files and documents
• Venues and seat plans
• Permission groups and assignments
• Cashbook data (entries, invoices, donation receipts — after the legal retention period)
• Public website and any custom domain
• Active subscription is ended at the end of the term

How to delete a choir

1. Open your choir and go to Settings > Delete choir.
2. Read the warnings carefully.
3. Export all data beforehand that you want to archive — member list, events, sheet music, invoices, donation receipts.
4. Confirm the deletion by typing the choir name exactly into the confirmation field.
5. Click "Delete permanently". You receive a confirmation email.

The actual deletion runs in the background and is finished within a few minutes.

Definitely export beforehand

Before deleting the choir you should secure the following data:

• Member list (CSV export from Members)
• Birthdays and anniversaries (separate export functions)
• Attendance statistics (CSV export)
• Invoices and donation receipts (PDF download from cashbook)
• GoBD export (if you ran a club account in Chorilo — legal retention 10 years in Germany)
• Sheet music and files (bulk download from sheet music library)

Permission

You need the permission ensemble.delete. By default only the owner of the choir has this permission. Other members cannot delete the choir — not even the choir director if they are not the owner.

Tips

• For a handover, rather assign a new owner instead of deleting the choir. When you stop as choir director, the choir can be continued with a new owner — all data is preserved.
• Pause instead of delete: when the choir only takes a break (e.g. summer break), cancel the subscription in the billing portal instead. The subscription runs until the end of the paid period, then the choir switches to read-only mode — all data is preserved permanently and you can reactivate any time.
• Mind GoBD retention duty: cashbook data must be kept for 10 years in Germany. Run the GoBD export in time.
