What is this?

With the function Edit venue you update the data of an existing venue — address, directions, seat plan, contacts, photo. Changes automatically affect all events using this venue, without you having to touch each event individually.

Typical use cases:

  • Construction work: temporary different directions
  • Contact change: new caretaker, new phone number
  • Hall renovations: seat plan has to be updated
  • Update photo: replace old images with new ones
  • Corrections: fix typos in the address

How to edit a venue

  1. Go to Events > Ticketing > Venues.
  2. Click the desired venue and then "Edit".
  3. Update the desired fields — base data, directions, photo.
  4. Switch to the seat plan tab to adjust seats and areas.
  5. Save the changes. They take effect immediately.

Edit seat plan in detail

In the seat plan editor you can:

  • Create new seats — individually or as a row
  • Move seats via drag and drop
  • Define areas — e.g. "soprano area", "stage", "soloist seats"
  • Add objects — piano, music stand, columns, emergency exits
  • Mark seats as "out of service" — e.g. due to defect
  • Assign voice section colors — visual recognition in the event

What happens on save

  • Event view updates — members see the new info immediately.
  • Map integration reloads — on address change.
  • Seat plan assignments in the event stay if the seats still exist.
  • Push notification is not automatically triggered — when the change is important, write an announcement.

Permission

You need the permission ensemble.edit to edit venues. By default the owner and choir director have this access.

Tips

  • Write an announcement for important changes — changed directions on the concert day should be communicated actively, not just appear in the event.
  • Plan seat plan changes before the concert — when the hall looks different after renovations, update the plan before the dress rehearsal so everyone finds their seat.
  • Keep old photos if possible — sometimes you want to retrace how the entrance used to look.
  • Record changes to the seat plan in "Notes" — e.g. "From 15.05.2026 two seats row 5 removed for acoustic optimization". That helps understanding later changes.

Frequently asked questions

Do changes affect already existing events?
Yes. Every change to the venue is automatically visible in all linked events — both in the web overview and in the mobile app. Use this to e.g. communicate changed directions after construction work immediately to everyone.
Can I adjust the seat plan during operation?
Yes. You can add, move or delete seats, areas and objects at any time. Existing member assignments are preserved as long as the seats still exist — deleted seats become "not assigned".
Who sees the changes?
All members invited to events at this venue see the changes immediately. A separate notification is not sent — changes are rather unobtrusive.
