Create event
Add rehearsals, performances and other events for your ensemble. All members are notified automatically and can confirm or decline.
What is this?
With Create event you add a single event or a complete series of rehearsals for your ensemble. Events automatically appear in the calendar of all invited members — both on the web and in the Chorilo app. Members can confirm or decline directly, so you always see who is coming and who is missing.
Typical event types:
- Rehearsal — regular weekly rehearsal or one-off sectional rehearsal
- Performance — concert, church service, gala or competition
- Concert with ticket sales — performance with online tickets via Chorilo
- Board meeting or organizational gathering — visible only to selected members
- Other events — voice section meetings, birthday parties, performance preparation
How to create an event
- Open the Events area in the main menu.
- Click "New event" at the top right. In the app you tap the plus icon in the bottom bar.
- Fill in the required fields: title, date, start, end and venue.
- Choose the participants: by default all members are invited. You can target individual voices or roles when the event only concerns part of the ensemble.
- Link sheet music (optional): pick the pieces from your library that will be played or rehearsed at the event.
- Enable repeat (optional): weekly for regular rehearsals, monthly for board meetings or a custom rhythm.
- Save the event. All invited members immediately receive a push notification and within 10 minutes also a digest email.
What members see
Once saved, the event appears in the following areas:
- Dashboard: upcoming events appear in the "Next events" widget.
- Events area: complete list of all upcoming and past events.
- Mobile app, Events tab: tap the event for the detail view, with the RSVP button visible right away.
- Personal calendar: via the iCal subscription, members can pull all Chorilo events into their own calendar (Google, Apple, Outlook).
Members can also comment on the event and ask questions, download sheet music that you linked, and confirm or decline their attendance. Attendance can be adjusted later if needed.
Permission
You need the events.edit permission to create new events. By default, choir directors, the board and all members with a corresponding permission group have this. Members without it can only see events and manage their own attendance.
You can adjust permissions in the choir settings under Administration > Permission groups.
Tips
- Plan rehearsals well in advance — ideally a whole quarter or half year at once. Members can prepare for important dates early, and you spot conflicts in time.
- Use sectional rehearsals deliberately: if you only invite the men or only the altos, the event will only show for those members. Others will not be unnecessarily notified.
- Always link the sheet music that will be rehearsed. Members can prepare at home and have the pieces offline in the app on the go.
- Enable reminders for important performances — Chorilo automatically sends a reminder one or two days before the event to anyone who has not yet confirmed.
When something goes wrong
If an event cannot be created, it is usually due to one of these reasons:
- Missing permission: check your role in the permission group.
- Venue not found: create the venue beforehand under Events > Ticketing > Venues.
- Date in the past: Chorilo prevents creating events with a date before today. Only add a past event if you want to back-fill attendance — use the Backfill function under Members for that.
