What is this?

The attendees list shows you all members invited to an event with their current status. Grouped by voice with counters per group — the fastest way to see whether the voice distribution is right for the rehearsal or performance.

What you see

  • Per voice: for example "Soprano 8/10 confirmed, 1 declined, 1 open"
  • Per member: name, voice, status (confirmed / declined / open)
  • Optional per member: comment on the response (for example "arriving late")
  • Total count: how many members are coming, how many are missing
  • Filter: by status, voice or role

Views

  • Compact — only numbers per voice, good for a quick look
  • Detailed — all names listed individually, sorted by status
  • Grouped — sorted by voices or roles

What you can do

  • Edit attendance afterwards (with attendance.edit) — for example mark who really attended after the rehearsal
  • Send reminders to members who have not yet responded
  • Send a direct message to individual members (opens chat)
  • Export the list as Excel or PDF

Permission

The attendees list is visible to all members invited to the event. Special permissions for extended actions:

  • attendance.edit — change attendance of others
  • members.view — export the list
  • events.edit — send reminders, add/remove members

Tips

  • Look at the list before every rehearsal to spot bottlenecks — for example "only 2 tenors there, better rehearse pieces without a tenor solo"
  • Use the "open" filter to specifically reach out to members who have not yet responded
  • For short-notice performances, a quick look at the attendees list can clarify whether the event will take place at all (minimum voice distribution)

Frequently asked questions

Do I also see the participants' phone numbers?
Only if the member has stored their number in the profile and allowed visibility for other members. By default, phone numbers are only visible to the board and the choir director.
Can I export the list?
Yes, with the members.view permission you can export the attendance list as Excel or PDF — for example for an association report or club statistics.
What do numbers like "Soprano 8/10" mean?
8 out of 10 sopranos have confirmed. This shows you at a glance where voices are sufficient and where it is thinly staffed.
