Permission required: Events › Edit

What is this?

With Link files to the event you attach documents, images, audio or video files directly to an event. Members find everything important about the event in one place — directions, stage sketch, program booklet, dress code photo or audio example for practicing.

  1. Open the event and click "Edit".
  2. Scroll to the "Files" section in the edit form.
  3. Click "Link files".
  4. Choose from the file storage — via search or folder structure you find existing files quickly.
  5. Or upload new files that get saved directly in the storage and at the same time linked to the event.
  6. Save the event. Members are notified about the new files.

Typical files on events

  • Directions / map for away performances
  • Stage layout with voice positions
  • Program booklet / songbook as PDF
  • Photo of the dress code for concerts
  • Audio demos for practicing difficult passages
  • Contract / confirmation from the organizer
  • Setlist / schedule with moderation parts

Permission

You need the events.edit permission to link files to an event. The file itself must be in the file storage — if it has not been uploaded yet, you additionally need the permission to upload to the relevant folder.

Members without events.edit only see linked files if they also have access to the relevant storage folder.

Tips

  • Create a separate folder per performance in the file storage — that keeps the collection tidy, even over several years.
  • Link files right when creating the event so members find everything from the start.
  • Update old links when, for example, the directions map changes — the link always points to the current version of the file.
  • Use meaningful file names like "Stageplan_SummerConcert_2026.pdf" instead of "IMG_1234.pdf" — members find the right file immediately.
  • Watch the permissions of the file folder — sensitive documents (contracts, internal notes) belong in a protected folder.

Frequently asked questions

Which file formats can I link?
All common formats from the Chorilo file storage: PDF, JPG, PNG, DOCX, XLSX, MP3, MP4 and more. Maximum size per file: 100 MB.
Are members notified when I attach a file?
Yes. Invited members receive a push notification that new files are available for the event. On the first event view they see the list highlighted.
Where are the files stored?
In the central Chorilo file storage of your ensemble. The link on the event is just a reference — the file itself can also be used outside the event.
