What is this?

With Edit attendance you can adjust the status of members for an event after the fact — for example, mark who really attended after a rehearsal. This is important for club statistics, anniversary calculations and association reports.

Status options

  • Present — was at the rehearsal or performance
  • Absent (excused) — cancelled in time
  • Absent (unexcused) — was not there without giving notice
  • Late — arrived later but was partially present
  • Left early — was present but left earlier

How to edit attendance

  1. Open the event after it has ended
  2. Go to the participant list
  3. Click "Edit attendance" at the top right
  4. Set the final status per member: individually with a click or via bulk action
  5. Save the changes

Bulk editing

For large ensembles, the bulk action is convenient:

  • Mark all who confirmed as present — one click handles 80% of the work
  • Mark all who did not respond as absent — quick cleanup
  • Apply individual corrections afterwards manually

When does this make sense?

  • After every rehearsal — fair attendance statistics for all members
  • After performances — important for performance rewards, soloist assignments
  • Before anniversary calculations — historical data as complete as possible
  • Before association reports — exact member counts per event

Permission

You need attendance.edit (separate from events.edit, often more restrictive). By default, choir directors, the board and the rehearsal manager have this permission. Members can only control their own attendance via RSVP.

Tips

  • Maintain right after the rehearsal — when it is still fresh, it is done quickly
  • Use a smartphone during the rehearsal — the app version is suitable for marking during the rehearsal
  • Use comments — for example "arrived only at 8:00 PM due to train delay", helps with understanding later
  • Do not mark every small delay — pragmatism counts; mark the relevant cases

Frequently asked questions

Why should I maintain attendance afterwards?
For club statistics, anniversary calculations, association reports and the fair distribution of performance opportunities. If a member has been with the choir for 30 years, attendance should be as complete as possible.
Can I also edit events that lie in the past?
Yes. Attendance can be filled in weeks or months later. Some choir directors do this directly the day after every rehearsal.
What does "absent with excuse" mean?
A special status variant: the member was not present, but cancelled in time. Helpful for clubs that distinguish between unexcused and excused absence (for example for fee exemption).
