What is this?
The Entries overview is the central list of all income and expenses of your club. Here you see every individual entry with date, amount, category, affected account and purpose. Via filter and search you quickly find what you need — e.g. all donations of the running year or all expenses for sheet music purchase.
In the list you see per entry:
- Date of the entry
- Amount in euro (income green, expenses red)
- Category and account
- Purpose or description
- Source — bank import, manual, reconciliation
- Receipt — symbol if a receipt is uploaded
How to filter and search
- Open Administration > Cashbook > Entries.
- Use the filter bar at the top — account, category, period, source.
- Search by full text in the purpose (search box top right).
- Click a column header to sort by date, amount or category.
- Click an entry to see details, receipts and reconciliation status.
- Click New entry at the top right to create an entry manually.
Filter options
- Account — only entries of a specific bank account or cash box
- Category — e.g. only membership fees or only sheet music purchase
- Period — running year, previous year, quarter, custom period
- Source — bank import, manual, reconciliation
- Receipt status — with receipt, without receipt
- Reconciliation — reconciled, open, rejected
- Full-text search — any term in purpose or description

To view you need cashbook.view. To edit or create new entries you need cashbook.edit.
Tips
- Use saved filters for regular analyses — e.g. "Donations running year" or "Travel expenses Q1".
- Regularly check the filter Receipt status: without receipt — missing receipts are the most common problem in tax audits.
- Sort by amount descending to quickly find big items — e.g. for the plausibility check at year end.
- Export as CSV when you want to keep working in Excel — e.g. for a board meeting or grant application.
Frequently asked questions
How many entries can Chorilo manage?▾
Practically unlimited. Even clubs with several thousand entries per year work smoothly. The overview lazy-loads while scrolling to display large lists quickly.
Are bank entries and manual entries shown separately?▾
By default no — all entries appear chronologically in one list. But you can switch via the "Source" filter between bank, manual and reconciliation.
Can I export the list?▾
Yes, top right you find Export to CSV or Excel. For a compliant export to your tax advisor use the compliance export in the Reports area instead.
