Edit or delete account

Change the name, IBAN or opening balance of an account. Delete accounts that are no longer used — provided no entries exist on them.

What is this?

With Edit account you change the name, IBAN, bank name or description of an existing account. With Delete account you remove accounts you no longer need — provided no entries have been booked on them yet. Accounts with entries cannot be deleted for compliance reasons, only archived.

Typical reasons for edits:

  • IBAN change after bank merger or account migration
  • Clearer name for better overview
  • Add description with purpose or internal note
  • Archive account that is no longer active (e.g. old savings book)

How to edit an account

  1. Open Administration > Cashbook > Accounts.
  2. Click the desired account in the list.
  3. Click Edit at the top right.
  4. Change the desired fields — name, IBAN, BIC, bank name, description.
  5. Save. The changes take effect immediately.

How to delete or archive an account

  1. Open the account in the detail view.
  2. Click the three-dot menu at the top right.
  3. Choose Delete account if the account contains no entries.
  4. Choose Archive account if entries are already present. The account is hidden but kept for reports and analyses.
  5. Confirm the action in the dialog.

What happens on deletion

  • Without entries — the account is completely removed, no record remains.
  • With entries — deletion is not possible. Choose Archive instead.
  • With an active bank connection — you must disconnect the PSD2 connection first, then you can archive.

To edit or delete you need cashbook.edit.

Tips

  • On a bank change, disconnect the PSD2 connection first before changing IBAN or bank — otherwise the old connection runs idle.
  • Archive accounts no longer in use rather than leaving them open — the overview stays cleaner.
  • Inform the treasurer when you change accounts — otherwise they will be confused about missing options on the next booking.

Frequently asked questions

Can I delete an account that already has entries?
No. For compliance reasons all entries must remain traceable unchanged. You can archive the account instead — it disappears from selection lists, but existing entries stay visible.
What happens if I change the IBAN of an account?
The name and IBAN may be changed at any time. Note though: with an active PSD2 connection you must disconnect first and reconnect with the new IBAN, otherwise no transactions arrive.
Can the opening balance be corrected later?
Yes, as long as no period has been closed yet. After a period closure the opening balance is frozen. Correcting then only works via a correction entry.
