Create bank account or cash box

What is this?

With Create account you set up a new bank account, cash box or virtual account in Chorilo. Every real account of your club where money moves should be managed as a separate account in Chorilo, so entries are assigned cleanly and balances are correct.

Possible account types:

• Bank account — current account, savings account or money market with a bank
• Cash box — on-site club cash, e.g. for concert revenue or small expenses
• Other account — e.g. PayPal, advance cash or a virtual donation box

How to create an account

1. Open Administration > Cashbook > Accounts.
2. Click New account at the top right.
3. Choose the account type (bank account, cash box, other).
4. Enter a name, e.g. "Sparkasse giro" or "Concert cash".
5. Optional: enter IBAN, BIC and bank name. For pure cash boxes leave the field empty.
6. Set the opening balance to the current balance as of today.
7. Save. The account appears in the accounts overview immediately.
8. Optional: connect the bank directly afterwards via PSD2, if you created a bank account.

Setting the opening balance correctly

The opening balance is the cutoff date from which you book in Chorilo. Examples:

• New club account: opening balance 0 euro, cutoff = opening date
• Existing giro account, starting with Chorilo now: opening balance = current balance per bank, cutoff = today
• Cash box: current cash on hand after counting, cutoff = today

Enter the opening balance carefully — it is the basis of all later balances.

Permission

To create accounts you need cashbook.edit. By default the treasurer has this right.

Tips

• Create all real accounts first before starting entries — that way you do not have to rebook later.
• Use clear names with bank and purpose, e.g. "Sparkasse Mainz giro" rather than just "Account 1".
• Connect bank accounts directly with PSD2 — that saves hours of manual entry per month and ensures complete bookkeeping.
