What is this?

The Cashbook overview is the home page of club bookkeeping in Chorilo. Here you see at a glance how your club's finances stand: current balances of all accounts, the latest entries, open tasks like unreconciled bank transactions and an overview of income and expenses of the current fiscal year.

Typical contents of the overview:

  • Balance of all accounts — bank accounts, cash and other accounts with current state
  • Latest entries — the ten newest events with amount and category
  • Open reconciliation — bank transactions not yet assigned to an entry
  • Income and expenses — totals per category for the current period
  • Compliance hints — e.g. expired bank connections or missing receipts

How to use the overview

  1. Open the Administration area in the choir.
  2. Click Cashbook in the side navigation.
  3. The overview appears automatically as the home page of the cashbook.
  4. Click a balance value to jump directly into the account detail view.
  5. Click an entry in the list to open or edit it.
  6. Follow the hints at the top right if tasks are open — e.g. a due bank reauthentication.

What the overview tells you

From the key figures you immediately see whether your bookkeeping is clean. If a balance does not match the real account balance, first check the open reconciliation tasks. If unusual income or expenses appear, click the category and look at the individual entries.

Permission

You need the permission cashbook.view to see the overview. By default this permission is assigned to the board, treasurer and finance officer. Members without permission do not see the Cashbook area in the navigation at all.

Tips

  • Take a quick look once a week to reconcile new bank transactions immediately — that way work does not pile up.
  • Watch the hint area: if a bank connection expires in the next 14 days, this is shown prominently here.
  • Use the overview as the entry point to every bookkeeping day — the most important tasks are visible at the top.

Frequently asked questions

Who sees the cashbook overview?
Only members with the permission cashbook.view. By default that is the board, treasurer and finance officer. Regular membership has no access to the cashbook.
Are balances updated automatically?
Yes. As soon as an entry is saved or a bank transaction is imported, Chorilo recalculates the balance of the affected accounts. For bank accounts this also happens after every sync.
Which periods can I evaluate?
In the overview you see the running period (usually the current fiscal year) and a comparison to the previous year. More detailed reports you find in the Reports area.
