Upload receipt to entry

What is this?

With Upload receipt you attach receipts, invoices or other documents to an entry. Receipts are required by tax law — every income and expense must be traceable through an original receipt. Chorilo stores receipts encrypted and ensures the legally compliant retention period of at least 10 years.

Supported receipt types:

• Cash receipts (cash slips, till receipts)
• Invoices (supplier invoices, fee invoices)
• E-invoices in XRechnung or ZUGFeRD format (read automatically — see Receipt recognition)
• Donation confirmations from other clubs or organizations
• Travel and entertainment receipts

How to upload a receipt

1. Open the entry in the detail view or create a new entry.
2. Scroll to the Receipt area.
3. Click Upload receipt or drag and drop the file directly into the area.
4. Choose the file (PDF, JPG, PNG, HEIC or XML/PDF for e-invoices).
5. Wait briefly for the upload — Chorilo shows a preview.
6. Add more receipts if needed (e.g. back side or additional attachment).
7. Save the entry.

With the Chorilo app you can photograph receipts on the go and assign them to an entry — useful right after a purchase, before the receipt gets lost. The app compresses automatically and ensures good legibility.

Permission

You need cashbook.edit to upload or replace receipts.

Tips

• Upload receipts immediately when entering — otherwise it gets forgotten, and without a receipt the entry is incomplete for compliance.
• Check the legibility of the uploaded file — blurry photos are a problem in tax audits.
• Use e-invoices (XRechnung, ZUGFeRD) when your suppliers offer them — Chorilo reads amount, date and recipient automatically.
• For multiple receipts on the same matter (e.g. receipt plus delivery note) attach all together to the entry instead of splitting entries.
• Avoid duplicate receipts in the club — when someone else has already uploaded, first check the entry list.
