What is this?

The Donation settings are the central place for all master data Chorilo needs for donation receipts and manual invoices. You enter the data once — afterwards it is automatically correct on every PDF. Without clean donation settings, receipts can be incomplete or invalid.

Typical contents:

  • Club data — name, address, club register number
  • Tax office data — tax number, tax exemption notice (date, issuing tax office)
  • Board and representation — name, function (for invoice law)
  • Logo and letterhead layout
  • Signature (scanned) — optional
  • Bank details — IBAN, BIC, bank name for invoices
  • Default texts — cover text for emails to donors

How to maintain the settings

  1. Open Administration > Cashbook > Donation settings.
  2. Enter the club data completely — name as in the club register, address, register number and registry court.
  3. Enter the tax office data — tax number, date of tax exemption notice, tax office name.
  4. Upload the club logo (PNG, SVG or JPG, transparent or with background).
  5. Enter board/managing director with function.
  6. Optional: upload a scanned signature as PNG with transparent background.
  7. Store bank details for outgoing invoices.
  8. Save. The data applies immediately to all new receipts and invoices.

What happens with missing entries

Chorilo warns you when creating a donation receipt if required fields are missing. Without tax number and tax exemption notice you cannot issue a receipt. For invoices, missing required fields are also blocked.

Permission

You need cashbook.edit to maintain the donation settings. This data should only be maintained by the board or treasurer, since it is legally relevant.

Tips

  • Update the data immediately when a new tax exemption notice arrives — usually every 3 to 5 years.
  • Use a high-resolution logo (at least 600 px wide) — it looks much better on PDFs.
  • Check the preview of a receipt after changes before sending it to donors.
  • Store a friendly default mail text for donation dispatch — that saves time and ensures consistent communication.
  • Keep the club register data current — adjust immediately on board changes.

Frequently asked questions

Which fields must I fill in?
Club name, full address, tax number, date of the tax exemption notice and the issuing tax office. Without these, donation receipts are invalid.
Can I store my own logo graphic?
Yes. Upload a PNG or SVG with your club logo — it then appears in the letterhead of every donation receipt and invoice.
What about the signature?
You can store a scanned signature that is automatically inserted on every PDF. Alternatively you print the receipt and sign by hand — both are legally permitted.
