What is this?
The Engagement early warning is an AI-based tool that shows you members whose activity has noticeably declined. So you spot early who might be on the verge of leaving — and can reach out before someone quietly drops out.
Members who miss several rehearsals in a row, no longer react to notifications or have not signed in for a while appear here.
What you see in the list
Per member you get:
- Name and photo
- Engagement status — falling, low or critical
- Main reason — why the member stands out (e.g. "3 rehearsals missed in a row", "Last login 6 weeks ago")
- Last activity — when the member was last visibly active
- Quick access — direct jump to the member profile
How to use the early warning
- Open the dashboard and scroll to the "Engagement early warning" block.
- Look at the individual members — what is the reason for the warning?
- Speak to the member personally: a short call, a WhatsApp message or a chat after rehearsal works wonders.
- Note the result in the member profile under "Notes" if needed.
When someone disappears again
As soon as the member becomes more active again — e.g. attends a rehearsal, signs in or reads a notification — they automatically disappear from the list.
Permission
You need the permission members.view to see the early warning. By default it is visible for choir director, board and administrators. Regular members do not see it.
Tips
- React to early warnings quickly, ideally within a week — the earlier you react, the higher the chance to win someone back.
- Be empathetic and curious, not accusatory — usually there is a reason that can be clarified.
- Document conversations in the member profile so other responsible people know the status.
