File Management Made Easy

Organizing files within a choir presents challenges for many ensembles. Rehearsal schedules, concert programs, contracts, photos, recordings, and numerous other documents need to be centrally available so that all members have access at any time. Until now, this often involved compromises: either one used external cloud services like Dropbox or Google Drive, which however were not integrated into choir management, or one sent files via email, which quickly became confusing. With the new Files feature in Chorilo and the accompanying desktop app, these problems are a thing of the past.

The Files feature allows you to upload files directly to Chorilo and organize them in folders. Each ensemble receives its own file area where documents can be stored in a structured manner. The folder structure can be freely designed, so each choir can implement its own logic. Whether sorted by year, organized by project, or arranged by document type - the flexibility lies with the user.

The Chorilo Files Desktop App

The true convenience, however, only unfolds with the new Chorilo Files desktop app. This application, available for both Windows and Mac, automatically synchronizes a local folder on the computer with the Chorilo cloud. This means: files placed in this folder automatically appear in Chorilo. Conversely, files that other members upload to Chorilo are automatically downloaded to your own computer.

Installing the app is remarkably simple. After downloading from the download page, the application is installed and connected to the Chorilo account. Then you select a local folder to serve as the synchronization folder. From this moment on, synchronization runs completely automatically in the background. The app starts with the operating system and ensures that all files are always up to date.

How Synchronization Works

Synchronization works bidirectionally. When a choir director places a new file in their local Chorilo folder, it is automatically uploaded to the cloud and becomes available to all authorized members. When another member uploads a file via the web interface or mobile app, it automatically appears in the local folder of all users who use the desktop app. This seamless integration ensures that no one has to manually download or upload files.

The app detects changes in real-time. As soon as a new file appears in the local folder or an existing file is modified, the upload process begins. A small icon in the system tray shows the current synchronization status. A green checkmark means: everything is synchronized. A rotating symbol indicates that files are currently being transferred. This way, you always maintain an overview without having to actively open the app.

Important Note About Deleting Files

One aspect deserves special attention: synchronization also works when deleting files. When a file is deleted from the local folder, it is also removed from the Chorilo cloud. This is a deliberate design principle to ensure consistency between the local folder and the cloud. However, it also means that accidentally deleted files cannot be automatically restored.

For this reason, we strongly recommend creating regular backups of important files. Many operating systems offer integrated backup solutions such as Time Machine on Mac or File History on Windows. Alternatively, important documents can be additionally saved in another location. This precaution protects not only against accidental deletion but also against other unforeseen events such as hardware failures.

Permissions and Folder Structure

The Files feature is fully integrated into Chorilo's permission system. Administrators can determine who may upload, edit, or delete files. Additionally, specific permissions can be assigned to individual folders. For example, a folder with board documents can be visible only to board members, while a folder with concert photos is open to all members.

Folders with special permissions are marked with a small lock icon in the interface. This makes it immediately clear which folders have restricted access rights. Permissions can be controlled through both permission groups and ensemble functions, allowing maximum flexibility in configuration.

Availability and Download

The Chorilo Files desktop app is now available for download. On the download page, you will find versions for Windows and Mac. Installation takes only a few minutes, and after setup, synchronization runs completely automatically. For users who prefer to manage their files manually, uploading via the web interface or mobile app naturally remains possible.

Beta Phase and Support

The desktop app is currently still in beta phase. This means we are continuously working on improvements and actively incorporating user feedback into further development.
